A grant covers the cost of a trip. It does not cover the time it takes to get ready. Start this list the day you apply, not the day you are selected.

Documents

  • Passport. Check that it is valid for at least six months after the programme ends; many countries require this. Renewals can take weeks.
  • Visa. Find out whether you need one as soon as you apply. Some visas need an in-person appointment and proof of funding, which the host can usually provide in a letter.
  • Consent letters. Students under 18 often need written consent from both parents to travel, sometimes notarised.

Health and insurance

  • Ask whether the grant includes travel and health insurance. If not, arrange it before you book anything.
  • Bring a summary of any medical conditions and prescriptions, translated if possible.

Money

Even fully funded programmes leave small costs: local transport on arrival, a phone SIM, a deposit. Agree with the host how and when any stipend is paid.

School

Tell your school early. If the programme runs during term, ask how missed work will be handled, and whether credits from the programme can count.

Contacts

Before departure, make sure you have:

  • the name and phone number of the person meeting you;
  • the address where you will stay;
  • an emergency contact at the host institution.

Keep copies of every document both on paper and on your phone. It is the simplest step on this list, and the one people most often skip.
